Plant hire software with Xero integration in South England

UpRate helps plant hire company owners and accounts teams prepare invoices from connected hire records. Import contract charge items, review customer details and invoice choices, then submit to Xero and retrieve the invoice PDF. Choose invoicing with or without resource scheduling; human review remains part of the workflow before submission.

FREE entry covers customers and hire contracts. Scheduling and invoicing require the appropriate paid package.

Prepare charges from the contract

Invoice Manager can import charge items from a hire contract. Review the description, quantities and rates against the work before sending the invoice.

Review the Xero handoff

Fill out Chargeable Items, choose the Tax Rate and Sales Type, then submit to Xero. Those choices need the accounts team’s review, not a software assumption.

Get the invoice document

UpRate retrieves the invoice PDF from Xero for you to send to the customer. Keep the contract accessible while checking invoice details and status.

A Portsmouth hire variation

Illustrative workflow: A Portsmouth public-buyer hire is extended and the accounts team needs to check the amended charges.

  1. Confirm the agreed hire

Review the original contract and the buyer’s agreed variation before importing hire charge items.

  2. Review the invoice

Check the invoice customer, order reference, quantities, Tax Rate and Sales Type with the accounts team.

  3. Send the reviewed document

Submit the reviewed invoice to Xero, retrieve the PDF and send it using the purchaser’s actual instructions.

A practical check for South England

An extension to a public-buyer hire needs an agreed commercial trail, not just an extra number on the invoice. Portsmouth’s supplier guidance explains the buyer’s order and purchasing arrangements; Bristol publishes a separate purchase-order invoice process. Follow the instructions for the customer actually paying for this job. Ask which person authorised the extension, whether the existing order covers it, and how the invoice must be delivered. Review the charges against the amended contract before the Xero submission. Retrieving a PDF does not prove that the council received or accepted it. UpRate does not decide the correct tax treatment, obtain an amended purchase order or guarantee a payment date.

Questions before you start.

What does the Xero integration actually do?

Complete Chargeable Items, choose Tax Rate and Sales Type, then submit to Xero. UpRate retrieves the PDF. Review details first; no tax advice or Xero endorsement is implied.

Can I invoice without buying scheduling?

Yes. Business includes customers, contracts and invoices without scheduling. Professional adds allocations and timesheets. Invoicing is not part of FREE Essential.

Does Xero submission send the invoice to the council?

The supported workflow submits to Xero and retrieves its invoice PDF. Send that document according to the buyer’s instructions and check receipt separately; council portal delivery is not claimed.
