Grow your plant hire business without giving up your evenings
More machines bring more booking changes and paperwork. Give each hire a clear handover so growth does not leave you chasing the details after work.

More hires should not mean longer evenings
Growing a plant hire business should give you more room to build the operation. Yet a busier yard can leave the owner piecing together booking amendments, missing timesheets and invoice details after everyone else has gone home. The extra work often sits between people: one colleague knows what changed, while the next needs that information to finish the job.
The practical question is whether another machine can follow the same clear process as the last one. If every handover needs your memory or another phone call, the office has a dependency to fix before that workload grows. Start with how a hire moves through the team.
Give growth a place in the office
On 15 September 2026, Fairfax Plant Hire announced an investment in 30 new cabbed Thwaites dumpers and reported that all 30 had gone straight out on hire. That is a concrete example of fleet investment meeting demand. It also prompts a useful planning question for any growing hire company: how will the office handle more active jobs?
Every additional hire brings customer details, dates, agreed charges and possible changes. An extension, a replacement asset or revised operator hours needs to reach the right people while the job is still familiar. Set aside time for that process when planning capacity, alongside the plant, transport and people needed to deliver it.
Use a four-step handover check
Choose a recent hire that changed after booking. Follow it from the hire desk through scheduling to accounts, using the records your colleagues actually see. Ask each person whether they could complete their part without asking the owner to reconstruct the story. Use these four checks whenever a booking changes.
- Confirm the job. Record the customer, contract reference, site and resource so the amendment belongs to one identifiable hire.
- Capture the change. Write down what changed, its effective date and the customer’s agreement, including any agreed rate or charging implications.
- Update the next commitment. Check affected plant and labour assignments, transport arrangements and the next booking before treating the amendment as complete.
- Prepare the accounts handover. Pass the relevant dates, checked timesheets, agreed charges and references to accounts. Give every unresolved item a named owner and a next action.
Check the evidence for the type of hire
For self-drive hire, check the contractual charging basis, start date, off-hire record and agreed amendments. An off-hire request and the collection date are separate facts; the terms determine the chargeable period. A machine’s location or engine hours alone does not settle the invoice.
For operated plant, connect the asset and operator to the same job and check the timesheets against agreed hours and charges. Resolve missing information before the invoice is finalised. The aim is an explainable invoice supported by the agreement and completed work, with accounts able to find both.
Keep the records connected in UpRate
UpRate’s Sales Manager holds customers and contracts. Resource Manager adds plant and labour scheduling, assignments and timesheets. Invoice Manager supports invoice preparation. The assignment screen below shows the contract, date and asset together, giving the hire desk a specific record to check when a booking changes.
Essential includes Sales Manager. Business adds Invoice Manager; Standard adds Resource Manager; Professional includes all three. Choose the package around your handovers. The documented Xero workflow lets you review chargeable items, select a tax rate and sales type, submit the invoice to Xero and retrieve its PDF. Your team remains responsible for checking the source records and charges.

Own the process without owning every task
As the owner, agree who records changes, who checks the work and who prepares invoices. Give those people time and clear authority to resolve ordinary exceptions. Keep a short, regular review of outstanding items, with reasons and next actions, so ‘waiting for paperwork’ does not become an indefinite status.
Start with one week of hires and review the handovers together with the team. Find the point that repeatedly sends work back to you, then make its responsibility clearer. Growth becomes easier to manage when the next person can finish their task from the record, and your evening is no longer the missing step.
Give the next hire a clearer handover.
